Abuse Policy
CHURCH Fitness is committed to providing a safe, respectful, and inclusive environment for all members, guests, staff, and instructors. We do not tolerate any form of abuse, harassment, or disrespectful conduct on our premises, in our communications, or in any setting connected to CHURCH Fitness.
This includes, but is not limited to:
Verbal abuse, including yelling, name-calling, threats, or aggressive language
Physical abuse, including unwanted contact, intimidation, or any threat of physical harm
Harassment or discrimination based on race, ethnicity, religion, gender, gender identity, sexual orientation, age, ability, body type, or any other personal characteristic
Sexual harassment, including inappropriate comments, gestures, or contact
Bullying, shaming, or hostile behaviour toward staff, instructors, members, or guests
Abusive conduct in emails, phone calls, social media interactions, or any other communication directed at CHURCH Fitness staff or members
Any individual found to be engaging in this behaviour may have their membership or class access immediately suspended or terminated without refund, at the sole discretion of CHURCH Fitness. In serious cases, CHURCH Fitness reserves the right to involve law enforcement, pursue civil action, or issue a no-trespass order.
CHURCH Fitness staff are empowered to address inappropriate behavior in the moment, including asking individuals to leave the premises. Members and guests are expected to comply with staff directions immediately.
If you experience or witness conduct that violates this policy, please report it to a member of our team or email support@churchfitness.ca. All reports will be handled with discretion.
Check-in Policy
All participants should arrive at CHURCH Fitness at least 15 minutes prior to the start of class. Checking in upon arrival is required.
5-minute check-in cutoff: If you have not checked in at least 5 minutes before the scheduled class start time, your reserved spot may be released to a standby participant or the next member on the waitlist. Standard no-show fees will apply if your spot is released.
First time at CHURCH? Welcome! Please plan to arrive 15 minutes before class so our team can get you set up, walk you through the space, and help you feel at home before we start.
Sanctuary doors close 1 minute prior to the start of class. CHURCH classes are designed as a full-experience workout that begins the moment doors close. Set-up, warm-up, and the energy of the room depend on every participant being present and ready. To preserve the experience for everyone in class — including the instructor and members who arrived on time — sanctuary doors close one minute prior to the scheduled class start, and no entry will be permitted after that point under any circumstance. Standard late cancellation and no-show fees apply.
It is the participant's responsibility to arrive with enough time to check in, prepare, and be in the sanctuary before the doors close.
CHURCH Fitness does not accept online or in-app registration for minors. To participate in any CHURCH Fitness activity, individuals under the age of 18 must:
Visit the CHURCH Fitness studio in person, accompanied by a parent or legal guardian.
Produce valid photo identification verifying the identities of both the minor and the parent or guardian.
Have the parent or legal guardian complete and sign all required waivers and registration forms on behalf of the minor.
To be eligible to participate in CHURCH Fitness activities, the minor must be at least 14 years of age and meet the minimum height requirement of 4'11". Minors who do not meet both requirements will not be permitted to register or participate.
Once registration is complete and eligibility is confirmed, the minor will be granted access to the CHURCH Fitness booking app.
Parent and guardian responsibilities: The parent or legal guardian assumes full responsibility for the minor's participation in CHURCH Fitness activities, including compliance with all studio policies, payment of any fees (membership, drop-in, late cancellation, no-show, etc.), and the minor's conduct on the premises. Parents and guardians acknowledge that participation involves physical activity that may carry risk of injury.
CHURCH Fitness reserves the right to refuse or revoke participation for any minor at its discretion.
Age Policy
Class Cancellation Policy
CHURCH Fitness adheres strictly to an 8-hour cancellation policy. To avoid a late cancellation fee, members must cancel a class reservation at least 8 hours before the scheduled class start time.
If a class is canceled within 8 hours of the start time, or if the participant is a no-show, a $20 late cancellation fee will be charged to the payment method on file. This applies to all members, including those on memberships, intro offers, challenges, class packs, and drop-ins.
Late cancellation forgiveness: Some memberships include late cancellation forgiveness for up to 2 classes per calendar month. Forgiven classes do not carry over to the following month. Once the monthly forgiveness has been used, the standard $20 late cancellation fee will apply to any additional late cancellations or no-shows. Eligibility for forgiveness is determined by membership type and is outlined in your membership agreement.
How to cancel: All cancellations must be made through the CHURCH Fitness app or your online account. Cancellations will not be accepted via email, phone, or in person, regardless of the circumstance. It is the member's responsibility to ensure cancellations are submitted within the required timeframe.
Studio-initiated cancellations: In the event that CHURCH Fitness must cancel a class or activity, members registered for that class will receive a credit to their account within one business day. Members will be notified by email of any class cancellations.
Class Reservation Policy
To ensure fair access to classes for all members, the following reservation rules apply:
Concurrent classes: Members may not hold reservations for two classes that take place at the same time. The system will prevent overlapping bookings, and any duplicate reservations identified after the fact will be canceled at CHURCH Fitness's discretion.
Back-to-back classes: Members may not reserve back-to-back classes where one ends at the same time the next begins. A minimum gap is required between consecutive class reservations to allow for proper transitions.
Weekly reservation limit: Members may hold a maximum of 14 active class reservations per week. Completed classes do not count toward this limit; only future bookings are counted.
Booking window: Reservations may be made in advance through the CHURCH Fitness app or website. Booking windows vary by membership type and credit package, and the available window will be visible at the time of booking
Reservation enforcement: CHURCH Fitness reserves the right to cancel any reservation that does not adhere to the policies above. Members will be notified by email if a reservation is canceled, and standard late cancellation fees may apply if the violation is identified within the cancellation window.
Late Arrival Policy
CHURCH Fitness classes begin on time. Sanctuary doors close one minute prior to the scheduled class start time, and entry will not be permitted once the doors have closed. No exceptions.
Members are encouraged to arrive at least 10 minutes before class to check in, prepare equipment, and be ready when the doors close. Members who arrive after the doors have closed will be marked as a no-show and may not enter the class.
A $20 fee will be charged for any no-show or late arrival to a booked class. This fee applies regardless of the reason and will be charged to the payment method on file.
To avoid this fee, members must cancel their reservation at least 8 hours before the class start time through the CHURCH Fitness app.
Liability Policy
CHURCH Fitness has a Waiver that must be agreed to prior to creating an account or booking activities. This can be viewed here: Waiver
Studio Belongings Policy
CHURCH Fitness provides a limited number of lockers for members and guests to store personal belongings during their visit, available on a first-come, first-served basis. Lockers are intended for short-term use during class only and must be emptied before leaving the studio.
Members and guests are solely responsible for their personal belongings at all times. CHURCH Fitness is not responsible or liable for lost, stolen, damaged, or forgotten items, whether stored in a locker, left in the studio, or anywhere else on the premises. We strongly recommend leaving valuables at home.
Items left behind will be held in lost and found for 30 days, after which unclaimed items will be donated or discarded at the discretion of CHURCH Fitness. Perishable items, undergarments, and water bottles will be discarded immediately for hygiene reasons.
CHURCH Fitness reserves the right to remove items from lockers that appear to be left overnight or stored beyond a single class visit.
CHURCH Fitness designates a "Guest" for the purpose of this policy as a person who has never taken a class at a CHURCH Fitness facility.
First-time guest passes: CHURCH Fitness permits members whose membership includes complimentary guest passes to use those passes for first-time guests only. If a guest booked on a complimentary pass has previously attended a class at CHURCH Fitness, the guest will be required to purchase a drop-in credit at the studio in order to participate. The complimentary guest pass will not be applied.
Booking and attendance: The member booking the guest pass is not required to attend the class with the guest. The guest must create a profile in the CHURCH Fitness app, complete any required waivers, and present valid photo ID at the studio prior to participating in their class. Guests under the age of 18 must have a parent or legal guardian complete the waiver.
Returning guests: Guests who have previously attended a class at CHURCH Fitness may be booked only by using drop-in credits or shareable credit packages. Complimentary guest passes are not valid for returning guests under any circumstance.
Cancellation, late arrival, and no-show fees: Guest bookings are subject to the same cancellation policies as regular class bookings. If a guest is a late arrival or no-show for a booked class, the member who booked the guest will be charged a $20 fee. No exceptions.
Members are responsible for the conduct of any guest they bring to CHURCH Fitness. Guests must comply with all studio rules, safety guidelines, and instructor directions. CHURCH Fitness reserves the right to refuse service to any guest at its discretion.
Guest Pass Policy
Membership Cancellation Policy
Membership cancellations may be requested with 30 days written notice to support@churchfitness.ca. Notice must be received at least 30 days prior to your next scheduled billing date to avoid that payment. If notice is received fewer than 30 days before your next billing date, one additional payment will be processed and your membership will remain active through the end of that final billing cycle. Cancellations are effective at the end of the final paid billing cycle, and no prorated refunds will be issued for unused time within that cycle.
A $300 non-negotiable fee will be applied to ALL memberships canceled prior to the minimum commitment period. A $50 admin fee will be applied to ALL membership cancellations and is charged at the time the cancellation request is received.
Minimum commitment periods vary by membership type and are confirmed in your membership agreement at the time of signup. Members are responsible for understanding the terms of their specific membership. Completion of the minimum commitment period does not automatically cancel your membership; memberships will continue to auto-renew monthly until written notice is submitted as outlined above.
Memberships cannot be cancelled prior to activation or during a freeze. Any freeze period extends the membership commitment by the same length of time.
GOLD Annual and GOLD Six Month Unlimited Memberships are paid in full at the time of purchase and are non-refundable. No prorated refunds will be issued for unused time. These memberships cannot be cancelled once activated and will expire 12 or 6 months from the start date respectively.
*Cancellation policy applies to all memberships listed or otherwise. Changes in programming, schedule, instructors, or offerings will not affect contract obligations. It is the member's responsibility to submit cancellation requests with sufficient notice; requests cannot be backdated once a billing cycle has processed. Members remain responsible for the terms of their memberships, including any cancellation fees.
Membership Freeze Policy
Freezing your membership is not permitted during the first month of activation. Following the first month you may freeze your membership when a written notice, of no less than 30 days, is sent via email to CHURCH Fitness at support@churchfitness.ca. Notice must be received at least 30 days prior to your next scheduled billing date in order for the freeze to take effect before that payment. Any request to freeze a membership must include both a start date and a resume date.
Monthly Auto-Renew Memberships may be frozen for a maximum of 2 months, once per calendar year. A $50 monthly fee will be applied each month your membership is frozen. Regular monthly withdrawals of your membership fees will automatically resume at the end of your freeze period without any additional communication. 6 Month and Annual Memberships that are paid for in advance may not be frozen under any circumstance.
Any freeze period extends the membership commitment by the same length of time.
During your freeze period, you may not access CHURCH Fitness facilities by using a guest pass, class credit, or drop-in, and your membership cannot be upgraded, downgraded, or substituted with another membership or class package. To unfreeze your membership prior to your stated resume date, you must notify us via email at support@churchfitness.ca; the original resume date cannot be extended once set without submitting a new freeze request, subject to the once-per-calendar-year limit.
Memberships cannot be canceled during a freeze period. Freezes are intended for unexpected absences only (such as travel, injury, or illness) and cannot be used to pause a membership in order to take advantage of promotional offers, switch to a different class package, or avoid scheduled billing. CHURCH Fitness reserves the right to decline freeze requests that fall outside the intended use of this policy.

CHURCH Fitness does not refund the cost of any class credits, monthly, annual packages, auto-renew or any other membership. This applies to never-used or partially-used class credits and memberships. Refunds will not be issued for missed classes, unused classes, or any portion of a membership not utilized for any reason, including but not limited to travel, illness, injury, schedule conflicts, or changes in personal circumstances. If you cancel your membership or your membership is terminated due to arrears, there is no refund for any unused classes or remaining membership time.
Class credits and packages expire as outlined at the time of purchase and cannot be extended, transferred to another member, or converted to credit toward a different package or membership.
All merchandise purchases are final sale with no exceptions except in the case of a manufacturer's defect, in which case an exchange of equal or greater value will be permitted within 14 days of purchase. Proof of purchase is required for all exchanges.
Refund Policy
Sale Policy
Sale pricing applies only to new purchases made during the promotional period and will not be applied retroactively to existing class credits, packages, memberships, or any prior purchase. CHURCH Fitness does not refund or credit any portion of a previous purchase to match a sale price.
Discounts and offers cannot be stacked or combined. Promotional pricing applies to one purchase per member unless otherwise specified. Discount codes are non-transferable and may not be sold, gifted, or shared.
All sales made during a promotional period are final and subject to the standard refund policy outlined above.

Transferral Policy
Classes, class credits, and memberships are non-transferable under any circumstance. This includes, but is not limited to, transferring credits or memberships to another individual (whether family, friend, or otherwise), gifting unused classes, selling credits or memberships privately, or sharing account access. Memberships and class credits are tied to the individual purchaser only and cannot be reassigned.
Accounts found to be shared, sold, or used by anyone other than the registered member may be suspended or terminated without refund.
Waitlist Policy
CHURCH Fitness offers a waitlist for full classes. If a spot opens up, members on the waitlist will be moved into the class according to the following process:
More than 1 hour before class: Waitlisted members will be automatically added to the class if a spot opens up and notified via email. If you are still on the waitlist but can no longer attend, you must remove yourself from the waitlist to avoid being added to the class and incurring a late cancellation or no-show fee.
Within 1 hour of class start: Waitlisted members will be notified by phone or text when a spot opens up and may choose to accept or decline at that time. If we cannot reach you, the spot will be offered to the next person on the waitlist.
To receive phone or text notifications for waitlist openings, please ensure phone and text contact preferences are enabled in your account settings. CHURCH Fitness is not responsible for missed notifications due to disabled preferences, outdated contact information, or unanswered messages.
Standby participants are welcome to wait at the studio in case a spot opens up. If a spot becomes available, standby participants may be added to the class up to 5 minutes after the class start time, at the discretion of CHURCH Fitness staff.
Late cancellation and no-show fees apply once a member has been added to a class from the waitlist. Members are responsible for monitoring their waitlist status and removing themselves if they can no longer attend.
